MCA Clarifies Process to Update Registered Email ID for Companies & LLPs
MCA Streamlines Email ID Update Process for Companies and LLPs
The Ministry of Corporate Affairs (MCA) issued an advisory in April 2026 to simplify the process for updating the registered email IDs of companies and Limited Liability Partnerships (LLPs). Maintaining an accurate email address on the MCA21 portal is essential to ensure the timely receipt of regulatory communications, compliance reminders, and official notices.
What Has Changed ?
Under the updated framework on the MCA V3 portal, no separate e-forms or filing fees are required to update an entity's email ID. The process is fully digital, replacing older, more cumbersome methods, and integrates directly with the MCA Master Data Services upon successful authentication.
Procedure for Entities Without an Existing Login
Companies and LLPs that do not currently have an account on the MCA V3 portal must follow these steps:
-
Register on the MCA portal specifically under the 'Business User' category.
-
Provide a unique email ID during the registration process.
-
Once the registration is successfully completed, the newly registered email ID will automatically reflect in the MCA Master Data Services without the need for any additional update requests.

Procedure for Entities With an Existing Login
For entities already holding a Business User account, the registered email ID can be updated through a secure, structured authentication process:
-
Log in to the MCA V3 portal using the company's or LLP's Business User credentials.
-
Navigate to the 'Profile Update' section and select the 'Update Email ID' option.
-
Enter the new email ID you wish to register.
-
Authenticate the request via OTP. Crucially, this step requires OTP verification from two Directors (in the case of companies) or two Designated Partners (in the case of LLPs) on their respective registered mobile numbers and email IDs.
-
Upon successful OTP verification, the updated email ID is instantly synchronized across both the Company/LLP Profile and the Master Data Services.
Keeping your contact information current is a simple but vital compliance practice that safeguards your business against missed deadlines and potential penalties.
